Harmonity separates administering the company from working on documents. Understanding that split makes it obvious which role someone actually needs — usually less than you would guess.
Company roles
A company role controls administration: users, workspaces, billing and company-wide settings. Every user has exactly one.
- Company Admin
- Full administration — users, workspaces, billing, company settings, and the analytics screens.
- Company Manager
- The same administrative reach for day-to-day management, including users, workspaces and analytics.
- Company Member
- No administration at all. A member works entirely through their workspace roles and does not see the admin area.
Workspace roles
A workspace role controls what someone can do with the documents inside one workspace. The same person can hold a different role in each workspace they belong to.
- Workspace Manager
- Full access to manage the workspace and its users. This role also opens the admin area and analytics.
- Workspace User
- Can view and collaborate on documents — create, edit, review and comment.
- Read-only
- Can open and read documents but not change them. The right role for auditors and observers.
Who sees the admin area
Administration and analytics are open to exactly the same set of people:
- Company admins, company managers and workspace managers can open both.
- Company members, workspace users and read-only users can open neither. This is deliberate — a member who genuinely administers something is given a workspace-manager role on a real workspace.
Common questions
A colleague cannot open the admin area.
They are most likely a Company Member with no workspace-manager role. Give them a workspace-manager role on a real workspace, or a higher company role.
Who can see analytics?
Exactly the people who can see the admin area: company admins, company managers and workspace managers.
Does a read-only user still get notifications?
Yes. They can follow activity on documents they can see; they simply cannot change them.
Can someone have no workspace at all?
Yes — a new user with no workspace membership sees only their personal workspace until an administrator adds them to a shared one.
